Role Overview

A client seeks a detail-oriented and forward-thinking Executive Assistant to offer extensive administrative assistance to their President & Founder. The main responsibilities include managing the calendar and emails, requiring a high level of attention to detail, a proactive approach, and dedication to making all stakeholders feel important. The ideal candidate should possess a sharp eye for detail, excellent time management abilities, and the skill to foresee and cater to their executive's needs.

Key Responsibilities

  • Keep Executive’s calendars conflict-free and updated.

  • Arrange, reschedule, or cancel appointments as needed.

  • Liaise with other departments and external entities for meeting setups and preparation.

  • Offer daily and weekly calendar summaries to Executive and the team.

  • Prepare and manage meeting agendas and materials.

  • Record key points in meetings and distribute follow-up actions.

  • Assist Executive in administrating essential meetings, including Board Meetings, and external personal businesses.

  • Organize executive meetings, managing travel, venues, and logistics as needed.

  • Keep informed about travel advisories and compliance with regulations.

  • Create detailed travel itineraries and provide reminders to Senior Executives.

  • Rate: $4/hr
